OFFICERS

Duntreath Neighborhood Association is comprised of four Officer positions that remain the structure of our social organization. The Officers include the following positions: President, Vice President, Secretaries (2), and Treasurer. Each position may be held by up to two people for the purpose of sharing responsibilities; a position may be shared by people residing in the same household. Term of office is two years. New Officers were elected early 2023 during our Annual Meeting.

  • Liaison to City officials and services

  • Oversees annual dues campaign

  • Convenes and facilitates meetings as needed

  • Budget Oversight

  • Manages neighborhood communications and updates

  • Coordinates events with Secretary as needed

  • Assures compliance of bylaws among organization

  • Shared support of social media monitoring and responses

VICE PRESIDENT

  • Organizes Facebook membership based on paid neighbors

  • Coordinate outreach to welcome new neighbors

  • Communicates with Block Captains to distribute flyers

  • Front entrance management: liaison to landscaping vendor, decorate for holidays

  • Assist with city liaison coordination

  • Communicate with elected officials as needed

  • Assists planning events as directed by Secretary

  • Shared support of social media monitoring and responses

CO-SECRETARIES

​*Elected to serve 2 consecutive years, alternating nomination years annually

  • Develop neighborhood event calendar

  • Develop budgets for events with Officers

  • Communicate with host streets and homes for events

  • Recruit and organize volunteers for events

  • Event vendor management

  • Event promotion via Facebook and e-newsletter (coordinated with Officers and/or Volunteer)

  • Assist club leads as needed

Tom Moots

TREASURER

  • Manage annual budget and budget reporting

  • Pay vendors and bank account management

  • Documentation of annual dues collected online and via mail

  • Monitors P.O. Box for annual dues submitted

  • Assists with vendor identification and management

  • Assists planning events as directed by Secretary

ADDITIONAL VOLUNTEER ROLES

WELCOME VOLUNTEER LEAD

  • Visits new neighbors as identified

  • Delivers Dues sign up form so they have info to join the Facebook group

  • Delivers a welcome gift such as homemade cookies (budget can support any costs associated)

BLOCK CAPTAIN COORDINATOR

  • Confirms Block Captain volunteers annually

  • Distributes Annual Dues Flyers for Captains to distribute

  • Works with Vice President to recruit new Captains as needed

DECORATION VOLUNTEER LEAD

  • Secures seasonal decorations for entrances and stores (based on budgeted amount for purchase)

  • Recruits volunteers as needed for set up and take down

  • Decorations are done for Patriotic holidays and Christmas

  • Notifies any neighbors impacted during set up and take down

E-NEWSLETTER VOLUNTEER LEAD

  • Reviews and edits content provided by officers

  • Sets up e-newsletter on request and manages send

  • Monitors email send results and any email responses to triage

  • Provides link to officers to share the enewsletter on Facebook

  • Adds new neighbors to the email list on request

EVENT VOLUNTEERS

  • Duties vary based on event

  • Cove events, volunteer informs neighbors of events and addresses any concerns. 

  • Coordinates signage week/day of event

  • Recruits additional volunteers as needed. I.E. recruits HHS students to work the Halloween Parade/Party

  • Serves as liaison to Event Lead Officer

Below are further details about Officers’ Roles as listed in Duntreath Neighborhood Association's Bylaws


SECTION 1. OFFICERS: The Officers of The Association shall include the following positions: President, Vice President, Secretary, and Treasurer. Each position may be held by up to two (2) people for the purpose of sharing responsibilities; a position may be shared by people residing in the same household. All Officers are volunteers and comprise of the Board of Directors. In Board of Directors meetings, each position receives one (1) vote, regardless of whether the position is held by one (1) or two (2) people. If the need arises for a vote of the entire Association membership, each household has one (1) vote. Officers shall be elected at the Annual Meeting by a majority of The Association Members voting in attendance. 


SECTION 2. BOARD OF DIRECTORS: The Board of Directors shall consist of the elected Officers and the Chairpersons of all standing committees. The President of The Association shall act as Chairperson of the Board of Directors. The Board shall meet at the call of the Chairperson at such times and places/methods as designated by the Board. The business of the Board shall be conducted only when a quorum is present. A quorum shall be a majority of the membership of the Board. 


SECTION 3. TERM OF OFFICE: The term of office of the Officers of The Association shall begin immediately following the Annual Meeting election and shall continue for two (2) years or until a successor is elected or the office is vacated for any reason.
